Lost In Music implemented the new CoreGo Insight Dashboard, which shows in real time how many people are at different venues and what types of tickets they have purchased. The tool made the work of both producers and venue managers easier, increased responsiveness, and provided valuable data for planning future events.

The Lost In Music festival was held in Tampere on September 25–26 in conjunction with the Music x Media professional event. Nearly 60 artists and bands performed at nine different venues during the festival. Music x Media delegates’ seminar passes included access to Lost In Music gigs, but the festival was also open to consumers. One- and two-day wristbands were on sale, as well as venue-specific tickets. The capacity for each venue was calculated separately for Music x Media visitors, wristband purchasers, and single ticket purchasers.

This year, Lost In Music used the CoreGo Insight Dashboard analytics and reporting tool for the first time, which enabled real-time monitoring of visitor numbers at the event.

In previous years, the number of visitors to Lost In Music was monitored using various manual counting methods, and the information was passed from person to person via text message groups.

This year, the access control process was significantly simpler, as the figures were recorded directly from the ticket readers to the CoreGo Insight Dashboard. This made it easier and faster to monitor the number of visitors and capacity utilization at the venues in real time. The dashboard displayed all the information from each venue at once. The tool showed how many ticket holders, wristband holders, and Music x Media participants were present, as well as the total number of people in the venue. This also made it possible, for example, to increase the capacity for a certain type of ticket or wristband during the event if there were fewer participants with another type of ticket than expected.

CoreGo Insight Dashboard made the work of Lost In Music’s producer easier during the event.

According to Eve Kaskela, producer of Lost In Music, the ticket scanning devices and Dashboard tool provided by CoreGo were easy to implement and did not require too much preparation. CoreGo was given information about the capacity of each venue in advance. CoreGo handled ticket matters directly with the service provider Tiketti, so Lost In Music did not need to act as an intermediary.

All the information remains visible in the Dashboard even after the event. For example, the tool allows you to see, on an hourly basis, what type of tickets were sold at each venue and at what time. This information will facilitate the planning of future Lost In Music festivals.

Kaskela thinks the CoreGo Insight Dashboard worked well and is happy with it after the first trial. As a producer, Kaskela has to take care of a lot of big things. Having the info right there makes the producer’s job easier on a busy event night.

“I would recommend Dashboard for other events, especially if you need to monitor multiple capacities at several different venues. It made things much easier to be able to monitor visitor numbers in real time and react if necessary if capacity needed to be adjusted in one direction or another.”

Kaskela also thanks CoreGo for their quick response and smooth cooperation.

“They were very accessible. We created a joint WhatsApp group where everyone, such as venue managers, could communicate immediately. If a problem arose, CoreGo was always on top of the situation. For example, if a ticket couldn’t be read or there was some other confusion, they sorted it out really quickly,” Kaskela says.
